Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How long we retain your data

We us the https protocal for this website which encrypts your information.  Access to our databases are secured by high security auto generated passwords and accessible to only the admin of teh site.

We will take all reasonable steps to ensure your data is collected and secured though no transmission over the internet is truly secure and can be compromised at the users end, in transit or at the receiving end.  The risks are extremely small if the user has security protocols in place on the device sending the information, which is the easiest entry point for a compromise to happen.  Security software on the users computer is a great way to minimize risk.  Take care entering personal information in non-secure environments such as Internet Cafes and airport terminals.

What data breach procedures we have in place

If a data breach occurs, as soon as this is discovered the site admin will assess:

  1. When the breach occurred (time and date)
  2. Description of the breach (type of personal information involved)
  3. Cause of the breach (if known) otherwise how it was discovered
  4. Which system(s) if any are affected?
  5. Which directorate/faculty/institute is involved?
  6. Whether corrective action has occurred to remedy or ameliorate the breach (or suspected breach)

The admin will then determine if personal information is involved and whether it is of a sensitive nature or not.  This site holds very limited personal data beyond email addresses and first names so it is very unlikely that any data breach would extend beyond the capture of that data which is inconvenient but has not financial impact on users.

The admin will nevertheless contact users to advise of any breach and the information accessed so that the user can be aware that email addresses may result in unsolicited emails from any hacker.

The site has several, quality security procedures in place and uses very high access password security into sensitive areas of the site or its databases.

What third parties we receive data from
